The University of Washington Department of Pathology is a broad and dynamic department that strives for a consistent level of high achievement in all of its activities. The Department offers full diagnostic services in all areas of Pathology, is a top ranked research organization as measured by research awards from the National Institutes of Health, and offers an array of specialized educational training programs.
UW Medicine Pathology brings together state-of-the-art technology and highly trained, world renowned personnel to provide comprehensive diagnostic and personalized service to physicians, community hospitals, independent laboratories, and other health care organizations. Our operations are based at the University of Washington Medical Center, Harborview Medical Center, South Lake Union, Northwest Hospital and the Seattle Cancer Care Alliance. Pathology faculty members also serve at Seattle Children's Hospital, the Veteran’s Administration Puget Sound Healthcare System, and the Fred Hutchinson Cancer Research Center. These collaborative efforts have generated innovative, translational studies in the basic mechanisms of disease as they apply to diagnostic pathology.
The Department of Pathology currently has an outstanding opportunity for a full-time Manager of Program Operations. Duties may be readjusted to benefit the workflow of the Department. Typical work may include but is not limited to the following:
Departmental Budget Management (45%):
Support the Associate Director of Finance with the management of Pathology’s various department budgets including RCR funding, R&T/clinical funding, endowments, gifts, revenue accounts and recharge and service centers. Prepare monthly budget reports utilizing multiple financial and record keeping systems to perform spending analysis, forecast future needs, and communicate status and progress. Approve daily expenditures, manage salary distributions, enter Workday distribution changes, and manage special projects for the Associate Director and Director of Finance and Administration as needed. Aid in development of annual departmental budgets and prepare budget reports by program for Department quarterly financial reporting.
Team Leadership and Management (15%):
Provide leadership, coaching, mentoring, and overall management to departmental finance team. Day-to-day strategic oversight and responsible for setting work schedules and performance expectations for team members. Take or recommend corrective (disciplinary) action when needed. Ensure compliance requirements are met. Use Lean approach to drive continuous process improvement, providing clear expectations and encouraging an engaged workforce to make effective changes.
Clinical Funding (15%):
Obtain research effort data for clinical faculty effort every six months. Makes cFTE updates in HSD. Work with Assistant Director and HR Manager to prepare and send faculty incentive notifications and bi-annual reports to UWP. Manage Direct Hospital Funding execution and prepares exception requests as needed.
Process Improvement Projects (10%):
Create, lead, and participate in departmental process improvement projects. Aid in development of lean culture. Measure and report all cost savings and increase efficiency in departmental processes. Participate and lead work groups to evaluate and implement continuous improvement and application of lean methodology for rapid improvement. Provide strategic and sustainable lean direction and implementation. Manage and increase teamwork across all improvement efforts, training and building team skills where appropriate for successful implementation of Lean. Establish collaborative working relationships with stakeholders to ensure effective communication.
Post-Award Management/Fiscal (10%):
Independently manage multiple sponsored projects assuring that all transactions are allowable, allocable and reasonable. Review and approve daily financial transactions related to assigned research projects. Prepare monthly budget reports utilizing multiple financial and record keeping systems to perform analyses of sponsored projects, forecast future needs/expenditures, and communicate status and progress to principal investigators. Manage advance budget number process and no-cost extensions. Responsible for the management of complex faculty salary distributions, NIH cap cost sharing, and Workday distribution changes for assigned faculty, staff, and graduate students. Review Faculty Effort Certification Reports for faculty members every six months. Track faculty cost sharing to assuring cost sharing obligations made in proposals are recorded properly. Backup support for Pathology colleagues when needed.
Pre-Award Management (5%):
Provide comprehensive management of grant proposals, including preparation of eGC1s and determining and communicating proposal requirements to all participants, setting proposal timeline, and coordinating the development of subcontracts. In coordination with the PI and department budget managers, create basic and complex budgets that involve multiple departments and multiple institutions. Review all grant proposals and contracts for accuracy and adherence to Department and University and agency requirements. Calculate all project salaries, equipment, personnel FTE’s, indirect costs, and special or exceptional costs. Make sure all necessary paperwork for the submission is completed and submitted on time. This requires excellent communication and intensive interaction with PIs, other departments, outside institutions, and the university and granting agencies to stay within the guidelines of both the University and outside agencies.
Requirements include:
• Bachelor’s degree and three years of relevant experience
• Demonstrated proficiency using PCs with MS Office Suite including Word, Excel, and Outlook
• Ability to work with multiple reporting lines for accountability
• Ability to exercise independent judgment and manage competing priorities using strong organizational skills.
• Excellent verbal and written communication skills
• Ability to travel efficiently to other UW locations for meetings
• Demonstrated strength in communication skills including written, public speaking and active listening.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
• Experience managing grants, contracts &/or state budgets in a university setting
• Experience with state and federal financial regulations
• Lean Six Sigma Green Belt Certification or equivalent experience
• Experience with UW online systems (eProcurement/eTravel/eReimbursement, SAGE, Workday & MyFinancial Desktop)
• Experience managing NIH T32 awards.
• 2 years supervisory experience
