Job Description

Job Description: The School of Medicine-Office of the Dean is actively recruiting for the role of Executive Assistant. The position provides executive-level administrative support to the leadership team of the Chief Administration and Operations Officer, reporting to the Office Manager.

Duties include heavy meeting scheduling using Outlook Calendar, prioritizing, communicating, scheduling, and reviewing appointments for conflicts, ensuring all necessary meeting arrangements are made including room reservations, and communicating to all appropriate attendees to ensure availability. Selecting and scheduling meeting facilities, equipment, meals and/or handouts to ensure appropriate resources for smoothly run meetings.

This position serves to greet visitors, answer phone, screen and respond as needed to all inquiries within the Dean's office. This position may also assist with event planning and management; preparation of weekly and daily meeting packets; draft correspondence; preparing PowerPoint presentations. Other responsibilities include management of confidential communication and documents, arranging travel, tracking expenses and general office duties.

Position works on campus, Monday through Friday, 8am to 5pm with occasional evening or weekend hours to accommodate special events.

Essential skills include demonstrated competency with Microsoft Outlook, Excel, Word, PowerPoint, Teams and One Note. Highly detail-oriented individuals with initiative and willingness to be a flexible team player are encouraged to apply.

Mon – Fri 8:00am – 5:00pm

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

BA degree, or an equivalent combination of education and experience for which comparable knowledge and abilities can be acquired as necessary. Two years' administrative experience. Experience in planning and coordinating events of varied venue. Advanced experience using Word, spreadsheets (excel) and preparing power point presentations is preferred.

Anticipated Hiring Range

Salary Range:$17.96--$33.18 hourly
GGS Grade: GGS-008
